PLANNING EVENT SUCCESS

STEP 1. Define your ideal outcome and goal

Ask yourself these key questions:

  • What style of event is it (informal, black tie etc)?

  • What is the main objective?

  • Who is your audience?

  • What is the key event message or outcome?

  • What style of entertainment will best help you achieve this?

  • What will the audience also enjoy and appreciate?

  • How do you want them to feel?

  • What do you want them to remember about the event?

  • After your event what sort of outcome do you want to have?

STEP 2. Take these practical steps to ensure the event production and staging is of high quality

Think about the type of entertainment you intend to use and make sure you have factored in all the elements of a successful (and impressive) event including:

  • Book a suitable venue (not all venues will work for all live entertainment)

  • Check the stage and performance area (the correct size, position and strength are vital for professional entertainment)

  • Check the seating (how long will the audience be sitting for - is the seating comfortable at the venue?)

  • Think about theming (do you have an event theme or company brand, style or message that needs to be highlighted?)

  • Hire a fit-for-purpose sound system to suit your entertainment (including speakers, amplifiers, mixing desk, microphones, stage monitors) with tagged and tested cables, installed and operated by a senior sound technician

  • Install a great lighting rig (to make the show more exciting and dynamic, to have more impact on your audience and to ensure you capture some great photos for post-event publicity)

STEP 3. Book Your Talent In Advance

Make sure your first choice and second choice of talent is available for your proposed dates

  • Select an entertainment act that will connect with your audience

  • Select a second act that would also work with your audience if your first choice is not available

  • Book your talent at least three months in advance of your event date to ensure availability
